SAF update: the first obligatory report to be sent on 25 August!
1 July 2016 marked the date when the Act on the Standard Audit File (SAF) went into force. The first obligatory report containing the file and concerning accounts of VAT has to be sent by large enterprises on 25 August, already. It should include financial and accounting data from July 2016. Consequently, companies do not have much time left to generate the first VAT SAF.
Enterprises face numerous obstacles related to creation of accounts of VAT. The most often reported problem is the doubling of duties. Companies are obliged not only to send their accounts of VAT in the form of an .xml file. They also have to submit the VAT-7 form, just as before. It turns out that these two styles of reporting bear significant differences. In the VAT-7 form, declared information is of more general character. It features the total amounts. The arrangement of fields and cells in the VAT SAF should be equivalent to that of the VAT-7 declaration. Yet, the account of VAT in the form of the SAF consists of more details. It should feature detailed records of transactions. Additionally, the Standard Audit File should include data that are usually not entered to various data systems, such as the date on which a given invoice has reached the company. What is more, company systems often do not provide the option of all tax rates binding in Poland. In such cases, integration of information coming from various sources turns out to be very helpful. Some of it may come from the databases, and some from for instance Excel files.
As regards the SAF Apollogic application, generating a SAF (Polish: JPK) takes several steps. First, data are extracted from company databases. Then, an .xml file is generated, verified with a qualified electronic signature and sent to the tax office. As a confirmation of a successful delivery, the user obtains an official confirmation of receipt (Polish: UPO). What matters much in this context is the verification of the file.
